Why? Why?

How to estimate time taken to complete a project
Sometimes, we over estimate or under estimate time to complete a project.? This results in last minute rush.? This is so when we are involved in a task which we have not done before. Unexpected events may occur throwing all our time estimation out of gear.
In this context taking into account other unpredictable events becomes very relevant consider the following issues:
      · Accidents and emergencies
      · Meetings, scheduled and unscheduled
      · Holdings and sickness in essential staff
      · Breakdown in equipments.
      · Let down by people or systems
      · Interruptions
      · Crisis jobs which may demand your immediate attention and time.
      · Your own health, sickness or mood/emotions.
Your project completion time should take into account the above factors.? Sticking to the time frame of a project is a critical factor for success.? Think about your past experience and anticipate the above issues.

The ratio of planning and doing

Managing all our activities with in the time available to us is a very high responsibility. In order to match the available time with the various activities that we have to discharge by virtue of our responsibilities calls for a lot of meticulous planning. We need to plan for the long-term goal, intermediate goal and immediate goal. We need to do a lot of thinking. It calls for a certain amount of tact and smartness.

It calls for a certain amount of tact and smartness

At the same time we need to be aware that too much planning and too little execution is not also good. There has to be a healthy ratio between the time spent on planning and the time spent on executing the plan. Some times we are tempted to plan a lot of things and after some time the law of diminishing returns operates.

The planning time should be spent on the following areas:
      1. Time spent on long-term goals and strategy: This is a very important phase. This will give the over all road map.
      2. Time spent on medium term goals and tasks: This includes six monthly and weekly schedules.
      3. Time spent on daily activities: This is for a day-to-day planning of the activities.

Time spent on planning will have to take into account the above issues. Too much of time should not be spent for day-to-day planning. At the same time too little time spent for planning for the long- term issues will not help reaching the goals. The weekly planning lies somewhere in between.

Perhaps the following thumb rule may be considered:
? About half an hour per day for drawing a to do list.
? About one hour every week end introspecting how the week was spent and how to plan for the next week.
? At the end of the year allotting about 10 to 15 days for planning for long term and break through issues. This will include taking stock of what happened in our life so far and considering what we are going to be in future.

Planning is a useful tool and it has to be used effectively.
